Responsibilities

  • Daily diary management to 4 x senior executives including the MD, Business Director,  Director of Programmes and Director of Development
  •  Maintaining excellent relationships with broadcast assistants, internal and external stakeholders
  • Working in a busy and highly creative environment
  • Arranging travel arrangements for meetings, conferences or film festivals in the UK and internationally and putting together of itinerary information
  • Booking film festival passes and International meetings
  • Assisting with presentation packs for pitches
  • Assisting with preparation of contracts and invoices for signature as appropriate
  • Minute taking at meetings as required
  • Meet and greet visitors
  • Organise rooms for meetings and provide refreshments as required
  • Organisation of internal company events
  • Maintenance of contact databases for each individual
  • Liaising re TX cards
  • Preparing submissions and applications for industry awards
  • Acts as cover for office management duties
  • Reconciliation of expenses and company credit cards on a monthly basis
  • Occasionally assisting Production Managers with coordination on specific programmes
  • Any other reasonable duties as required including ad hoc personal duties

About You

  • Excellent communication skills with the ability to interact professionally at all levels
  • Previous experience in a similar role and knowledge of the television industry and executives is essential
  • Experience of working in a TV Production environment is preferred
  • Excellent organisation and planning skills and a meticulous attention to detail
  • Previous experience supporting senior team members
  • Excellent interpersonal skills with the ability to develop effective working relationships both internally and externally
  • Motivated with the ability to use initiative to solve problems
  • Excellent planning and organizational skills
  • Excellent knowledge of Microsoft Office and Outlook
  • Advantageous – Photoshop / PowerPoint skills
  • Ability to learn quickly and have an excellent memory
  • A passion for the industry
  • Ability to multi task priorities work load.
